It sounds like a housing issue. In practice, it's a logistics issue.
Twenty people need more than just twenty beds. They need to be able to get to the workplace, park, cook, do laundry, and make everyday life work. Furthermore, not everyone may arrive on the same day, and the project might grow as early as the following week.
The fastest way to solve group housing is to first gather the right information.
What is the exact address of the workplace? How many people are coming the first week? Does everyone have a car? Are parking spaces needed for company vehicles? Can the group be split across multiple accommodations? Are single rooms required?
When the answers are available, the search becomes more accurate.
If the dates are uncertain, it should be stated right away. Then the housing solution can be planned with greater flexibility.
Accommodation that looks cheaper can become expensive if twenty people have to drive long distances every day.
Calculate travel time and transportation costs for the entire group. For projects with early starts or shift work, the location can be crucial for everyday life to function.
For work groups, parking is often a critical detail that is discovered too late.
How many cars are there? Are they passenger cars or larger work vehicles? Does parking cost extra? Are there height or size restrictions?
Include the parking requirement in the very first inquiry.
After several weeks in another location, everyday functionality becomes a central part of the accommodation.
A kitchen makes it possible to cook food after the work shift. Laundry facilities save the staff from spending time on external solutions. Storage and common areas can also affect well-being.
A project team rarely arrives at the exact same time.
Perhaps eight people will arrive on Monday, six on Wednesday, and the rest the following week. Then the accommodation needs to be planned in stages.
By gathering all dates in a simple list, the accommodation can be better matched and unnecessary empty nights can be avoided.
A common mistake is to only solve the need for the first week.
If the project can go from twenty to thirty people, it should be included in the planning from the beginning. This does not mean that all seats have to be booked immediately, but the supplier needs to understand the direction.
When many people are going to stay, the administration quickly becomes larger than the booking itself.
A clear point of contact for resident inquiries, changes, and extensions reduces the risk of misunderstandings and makes things easier for the project management.
Send city, date, number of people, and the address of the workplace. Feel free to add information about parking, desired room distribution, and whether the project can change.
Then we can work from the big picture instead of just looking for available beds.
20 people. New city. Project start on Monday. The accommodation should be the easy part.
